Information About This Practice

Wholeness and Wellness Counselling Services is a group practice owned and operated by Dr. Tracie Rogers.

Our individual and co-joint (marital /family) sessions are 60 minutes in duration. At certain points, you and your therapist may determine that longer sessions are necessary in advance or a crisis may arise that requires a longer session.  Under these circumstances, you may wish to have a ninety-minute session; these sessions will carry an additional charge.  

Information about our fees is discussed during our 15-minute consultation. Fees are payable at the time that services are rendered. Fees are reviewed annually. If our fees increase at any point in the future, you will be provided with 60 days’ notice of these changes.

We do not accept insurance.  We are happy to provide receipts for services so you can pursue reimbursement through your insurance company.  Be aware that reimbursement is your responsibility and we cannot guarantee that you will be reimbursed for these services.  It is best to find out about your insurance coverage before attending your first therapy session.

If for any reason you find that you are unable to continue paying for therapy, please inform your therapist as soon as possible. We will help you to consider options that may be available to you and support you as best as we can.

Information about your Therapist

If you want to find out more information about the training and qualifications of your therapist, you are welcome to ask.  Be as specific as you wish - you can ask about their experience, education, special interests, and professional orientation.  It's your right to ask as much information as you wish.  All of the therapists at Wholeness and Wellness Counselling have post-graduate level training in social work, psychology or expressive arts therapies.  Additionally, we have specialized training in a range of techniques.  We will be happy to discuss these with you if you wish.

Confidentiality

All communications between us will be held in strict confidence unless you provide written permission to release information about the treatment you are receiving.  If you participate in marital or family therapy, we will not disclose confidential information about your treatment unless all person(s) who participated in the session with you provide their written consent.  This stipulation applies to members of your family as well.  We will not disclose information communicated privately by one family member, to any other family member without written permission. 

There are exceptions to confidentiality.  We will report instances of suspected child or elder abuse to the relevant authorities.  We are also required or permitted to break confidentiality if we determine that a client presents a serious danger to another person or to herself or himself.

Minors and Confidentiality

Communications between therapists and clients who are minors (under the age of 18) are confidential. We will however work with parents and other guardians who are responsible for bringing their dependents for treatment. We may discuss the treatment progress of a minor client with the parent or caretaker.  We will also let minors know the details of their care that we share with guardians or parents.

Appointment Scheduling and Cancellation Policies

Sessions are typically scheduled to occur one time per week at the same time and day if possible. The nature and severity of your concerns is the factor we will use to decide the amount of therapy which is appropriate for you. Cancellations and rescheduling of appointments must be made 24 hours in before your appointment. If you do not provide your therapist with at least 24 hours notice in advance, you are responsible for the full payment for the missed session.

Therapist Availability/Emergencies

You may leave a message for your therapist at any time on our confidential voicemail. If you wish for your call to be returned, please be sure to leave your name and phone number(s), along with a brief message concerning the nature of your call. Non-urgent phone calls are returned during normal workdays (Monday through Friday) within 48 hours. We are not available to return calls on Saturdays or Sundays or after 6 pm. If you have an urgent need to speak with your therapist, please indicate so in your message. In the event of a medical emergency or an emergency involving a threat to your safety or the safety of others, please call 999 to request emergency assistance.
